Can I record a Zoom, Teams or Meet call?

The recording indicator is not consent

Zoom, Teams and Meet all show something when a recording starts — a banner, a dot, a chime, a dialog. That is a useful transparency feature and it is not the same as consent. Two gaps:

• A notice tells people something is happening. Where a rule requires each party's agreement, being told is not agreeing.
• Someone who joins late, dials in by phone, or is looking at another window may not register it at all.

Some statutes do recognise notice as a route — Connecticut's civil telephone statute accepts a verbal announcement or an automatic tone warning, and Washington treats an announcement recorded as part of the conversation as one way of obtaining consent. Those are specific statutory mechanisms with specific requirements, not a general rule that any platform indicator suffices.

The reliable approach costs one sentence at the top of the call:

"Before we continue, I'd like to record this call for [purpose]. The recording may also be transcribed. Does everyone agree?"

Everyone is somewhere different

A six-person call can easily involve four jurisdictions. That is the normal case for online meetings, not the exception, and it means:

• More than one set of rules may be relevant.
• No tool can tell you which one a court would apply — that is fact-specific.
• Express consent from everyone is the approach that works regardless of the answer.

Run the checker and add each location; it shows the reviewed rule for each one separately rather than collapsing them into a single answer.

Host controls and platform terms

Being the host gives you a button, not permission. Beyond consent, the platform's terms and your organisation's configuration may restrict recording, and many organisations disable it or log it centrally for exactly this reason.

Transcription and AI note-takers

Most online-meeting recordings now go straight to an automated note-taker. That is a separate processing step: another company receives everyone's voice, and its terms decide retention and whether content may be used for training. Where the meeting covers confidential business information, health information or HR matters, that decision deserves more thought than the recording itself usually gets.

If a note-taker joins as a participant, tell people — an unannounced bot in a meeting is exactly the situation that generates complaints.
